💡 How to use the “Utilities” feature in Goovii POS

The “Utilities” section in Goovii POS is designed to help owners and administrators accurately track all regular expenses and see the true net profit after paying for utilities, rent, and other recurring costs. This section helps avoid financial surprises and allows you to analyze business profitability on a monthly basis.


How to work with the “Utilities” section in the admin panel

  1. Open the admin panel of your Goovii POS.
  2. Go to the “Utilities” section.
  3. In this section you will see general information about all expenses and can perform the following actions:
    • Create fixed expenses
    • Create variable expenses
    • View history of previous payments

Fixed expenses

Fixed expenses are costs that do not change often and repeat monthly.

Examples of fixed expenses:

  • Rent of premises
  • Internet and telephony
  • Security services
  • Hosting and licenses
  • Subscription fees for services
  • Salaries (if fixed)
  • Other regular payments

How the feature works:

  • The cost is entered once
  • Every month the amount is automatically added to expense calculations
  • You can change the amount or start date at any time
  • The system automatically includes these expenses in financial statistics

Example: Rent – 50,000 UAH is entered once and automatically charged every month.


Variable expenses

Variable expenses are costs that change every month depending on actual consumption or bills.

Examples of variable expenses:

  • Electricity
  • Gas
  • Water
  • Waste disposal
  • Meter-based utility services
  • Other variable costs

How the feature works:

  • A service template is created for each variable expense
  • A new amount is entered every month
  • Each expense is linked to a specific month
  • If no amount is entered, the expense is not included in financial calculations

Example: Electricity: January – 4,200 UAH, February – 3,600 UAH


Automation and reminders

  • Auto-inclusion of fixed expenses: at the start of a new month, all fixed expenses are automatically added to financial calculations
  • Missing expense reminders: the system notifies you if variable expenses for the month have not been entered

Benefits of using “Utilities”

  1. Real net profit: the system automatically subtracts all expenses from sales profit.
  2. Control over fixed and variable costs: see how much money goes to rent, utilities, and other regular payments.
  3. Convenience and time saving: no need to re-enter fixed expenses every month.
  4. Profitability analysis: easily evaluate how much of your revenue is spent on operational costs.

Calculation example

  1. Revenue: 200,000 UAH
  2. Profit from sales: 120,000 UAH
  3. Fixed and variable expenses:
    • Rent: 50,000 UAH
    • Electricity: 10,000 UAH
  4. Net profit: 60,000 UAH

Thus, the user immediately sees the real money remaining after all payments.
